Booking Process

Submit a Booking Request
Fill out our online Booking Request Form to get started.

Schedule a Site Walk & Meeting
We’ll connect to tour the space, review your needs, and discuss the event in detail.

Receive a Customized Quote
Based on your event requirements, we’ll send a detailed price quote.

Accept or Decline the Quote
Once you approve the quote, we’ll move forward with securing your date.

Sign the Rental Agreement
A rental contract will be provided upon quote acceptance and must be signed to finalize your booking.
Booking Confirmation

Secure your spot with a deposit.

Full payment is required 30 days prior to the event.
Invoicing & Payments
Step 1:
A damage deposit and a 50% security deposit are required to secure your date.
Step 2:
The remaining rental balance is due 30 days prior to the event.
Step 3:
If no damages are incurred, the damage deposit will be refunded no later than 7 days post event.
Please note: The damage deposit is not applied toward the final rental fee—it is a separate hold for potential damages.

Cancellation Policy

All bookings with The Kelowna Event Centre are final and non-refundable. As a small business, we reserve dates and allocate resources specifically for each client, which limits our ability to rebook canceled events. In the event of cancellation by the client, for any reason, no refunds will be issued for deposits or payments made.

Insurance Requirements
A certificate of insurance with a minimum coverage of $2 million liability is required.
The Kelowna Event Centre must be named as an additional insured on the documentation.
Proof of insurance must be submitted no later than 2 weeks prior to the event date.​​
